Data governance

Feel Good Hub is hosted in the UK in a fully GDPR hosting environment with and is operated by Ember Technology Ltd. Ember Technology is an ISO/IEC 27001/9001 certified software and services business based in the UK and is both a Data Controller and Data Processor with respect to the processing of personal data. Our data security policies and processes are based on industry best practice and are regularly audited both internally and externally by independent bodies.

Account Holders are typically organisations with an employment relationship with their own user group, however, Feel Good Hub may be used by any grouping or subgroup of people. Account Holders are responsible for the use and conduct of their own users within their tenancy in the Feel Good Hub system.

Data sharing

Feel Good Hub provides reports and insights to our Account Holders and designated Administrators (e.g. organisations and teams) about the use of the system by their own users. The intention of our reporting and insight facilities are to provide feedback to Account Holders and administrators about the impact of the use of our systems, the opinions of their people and to provide insights for leaders that lead to positive outcomes for both Account Holder organisations and their employees and members.

Data shared in the form of reports and insights is provided in good faith and must not be used to limit, violate, or infringe the rights, freedoms and protections of any individual. Anonymity in reports & insights

All reports, pulse polls and surveys (such as Insight Reports and polls) provide within Feel Good Hub are anonymised to protect the identity of individual users of the system. We believe that this is essential in order to maintain the high level of trust necessary for users both in terms of their use of the system and between employees and their employer.

Email domain locking

In the interest of security and commercial control our standard practice is to lock approved user email domains against each Account Holder’s tenancy. This means that only users with approved email domains and the correct Registration Code can access the Account Holder’s tenancy. However, email domain locking also be removed or extended to specified email domain sets if required.

Data security

We ensure that all data is secured and encrypted at rest through AWS RDS.  Any data that is in transit between any of our systems use TLS 1.2 encryption, which is audited regularly. In accordance with our ISO27001 certification we maintain strict governance and protection standards to ensure data is appropriately stored, processed, and handled by our people, systems and technology.
